Edit the general timesheet settings

Settings - Practice Management

You can set the number of minutes in each unit of time, specify the period over which timesheets can be edited, and control when timesheets are automatically locked.

  1. Click Settings > Practice Management.
  2. Click General Settings.
  3. Click the Timesheets tab.
  4. Select the required length of time for each unit from the list.
  5. Select the Enable Timers check box, if you want use the timesheet timers functionality. This setting is selected by default.
  6. Use the Calendar button to select the cut-off date before which users will NOT be able to add, edit, or delete timesheets (optional).
    • In other words, you are specifying that timesheets will be automatically locked by date. All timesheets are locked for all jobs, regardless of whether the job has been completed, invoiced or closed. Any timesheet entries that are entered before the selected date CANNOT be added, edited, or deleted.
    • If you are new to Practice Manager and are still entering timesheets manually, we recommend you select the date of when you started using Practice Manager. Once you are up and running with Practice Manager you can adjust the date as required, for example to the end of each month.
  7. Select when you want the timesheet to lock from the list.
    • Timesheet entry for a job will be locked when it is completed or closed.
    • Timesheets can be unlocked, if required.
    • Timesheets can also be locked manually, if required.
  8. From the Timesheet entries are approved by list, select the senior user(s) who can approve timesheet entries:
    • None - this is the default setting and it means that no approvals are required.
    • Contact Manager & Partner - the Contact Manager will be called on first to approve entries, then the Contact Partner for the Contact Manager timesheet entries.
    • Contact Partner - the Contact Partner is called on to approve entries only.
    • Job Manager & Partner - this option only displays if the Job Partner and Job Manager settings are activated. The Job Manager is called on first to approve entries, then the Job Partner for the Job Manager entries.
    • Job Partner - this option only displays if the Job Partner and Job Manager settings are activated. The Job Partner is called on to approve entries only.
  9. Select the Enable approval of locked timesheets check box, if required.
    • This option is only available if an option other than None is chosen from the above Timesheet entries are approved by setting.
    • When selected, timesheet approvers will be able to approve timesheet entries that are locked.
  10. Click Save.
