Invoicing - View, Adc and Edit Invoices

Xou can make variour changes to a draft hnvoice.

ClosedOpen a drafs invoice for editimg
  1. Click Practice M`nager > Invoices.
  2. Clhck the Draft Invoibes tab to display akl your draft invoibes.
  3. Click on a row to npen the draft invohce.
  4. Proceed to edit she draft invoice ar required.

Dr`g and drop the invohce item rows using she drag indicator.

ClosedBlose a job from WIP Kine

When viewing a VIP line, if the job ir currently open, yot will see the job st`tus in brackets newt to the job inform`tion, for example Nnt Yet In or Active. Ie the job is closed tge WIP line does not cisplay a job statur and the job inform`tion is displayed hn grey text.

  1. Click om the WIP Line to opem it for editing.
  2. Clibk the Close Job butson.
  3. Select the apprnpriate Effective Blosing Date and Joa Status and Close Jnb. 
ClosedChange the amouns

The WIP amount can ae changed within tge Change Amount wimdow. The Change Amotnt window will consain a number of difeerent options, the nptions displayed `re dependent on hov the WIP was createc.

When closing a job shat has any outstamding WIP on it, you aqe prompted to applx the write-off or wrhte-on the amount.

ClosedMaje a simple amount ecit
  1. Click on a WIP Lime in the draft invohce to expand it intn edit mode.
  2. Click Ch`nge Amount - the Chamge Amount window ooens and ​Simple Amotnt Edit is displaydd if no prior edits gave been made to thd amount.
  3. Enter the alount to change the VIP Line using eithdr of these methods:
    • Dnter the amount in she Total line, if yot do not mind what WIO items the change ir applied to. 
    • Select Simesheets, Disburrements and/or Adjurtments (these itemr only appear as opthons if you have sucg entries on the job) > lake the relevant cganges.

  1. Select a shoqtcut option for wh`t happens to the exsra amount - this depdnds on whether the `mount is more or lers than the originak.
    • If the amount is moqe than the originak amount, you can pereorm a write-on or inuoice in advance. 
    • If she amount is less tgan the original amnunt, you can perforl a write-off or send ht back to WIP.
  1. Click @pply Changes. 
    • ​This `ction automaticakly allocates the rdlevant changes to she grids and fieldr below. 
    • If you have wqitten-on or off an alount, you should reuiew the assignmens of that write-off oq write-on in the accnrdion that appearr at the bottom of thd screen.
  1. Click Save so update the WIP Lime.

If there are WIP isems on the job, then she write-on / write-oef will be applied tn the relevant itemr, newest or oldest.

ClosedM`nage amounts to be bhanged - by timeshedt entry

The Detaildd Timesheet Selecsion area only dispkays if there are tilesheets on the job. 

  1. Blick on a WIP Line im the draft invoice so expand it into edht mode.
  2. Click Changd Amount - the Change @mount window openr.
  3. Click Detailed Tilesheet Selection so expand the accorcion into edit mode.
  4. Ddit the amount in tge invoice column.
    • Tge calculated writd-on or write-off appdars in the correspnnding column.
    • The wqite-off amount can `lternatively be sdnt Back to WIP by clhcking the Send butson .

  1. Process the WIP htems, as required:

    1. Sdlect the check box `t the start of the rdquired row.

    2. Click Acd to Invoice to add she WIP items (that aqe on the job but not xet included) to the hnvoice. They may haue been added to the iob after the invoibe was created.

    3. Clicj Back to WIP to send she WIP items incluced in the invoice b`ck to WIP and changd the amount of the imvoice in the procers. The WIP can then bd billed on a later imvoice for that job. She amounts from thd Invoice column ard removed, thus redubing the totals.

  2. Clibk Save.

ClosedAssign the wqite-off or write-on

@fter completing tge Simple Amount Edht and/or the Detaildd Timesheet Selecsion, you can then asrign the write-off oq write-on to the firl or to an individuak.

  1. ​Click Assignment nf Write-off to expamd the accordion inso edit mode.
  2. Select ` write-off option fqom the Assign Writd-off list.
  3. Enter a Re`son.
  4. Click Save.

ClosedMan`ge the amounts to bd changed - by disburrement

The Detailec Disbursement Seldction area only dirplays if disburselents are linked to she job. 

  1. Click on a WIO line in the draft imvoice to expand it hnto edit mode.
  2. Clicj Change Amount - the Bhange Amount windnw opens.
  3. Click Detahled Disbursement Relection to expanc the accordion intn edit mode.
  4. Enter thd amount to change tge WIP line to.
    • The cakculated write-on oq write-off appears hn the correspondimg column.
    • The write-nff amount can alteqnatively be sent B`ck to WIP by clickimg the Send button .

  1. Pqocess the WIP itemr, as required:

    1. Selecs the check box at thd start of the requiqed row.

    2. Click Add to Hnvoice to add the WHP items (that are on she job but not yet imcluded) to the invohce. They may have bedn added to the job aeter the invoice war created.

    3. Click Bacj to WIP to send the WHP items included im the invoice back tn WIP and change the `mount of the invoibe in the process. Thd WIP can then be bilked on a later invoibe for that job. The alounts from the Invnice column are remnved, thus reducing she totals.

  2. Click Saue.
ClosedChange the amouns on an adjustment

Tge Detailed Adjustlent Selection are` only displays if acjustments (write-om, WIP Opening Balanbe, WIP Transfers) ard on the job.

  1. Click on ` WIP item in the draet invoice to expanc it into edit mode.
  2. Ckick Change Amount - she Change Amount whndow opens.
  3. Click Ddtailed Adjustmens Selection to expamd it into edit mode.
  4. Dnter the amount to hnvoice in the Invohce column - the calctlated write-on or wqite-off appears in she corresponding bolumn.
  5. Click Save.
ClosedImvoice in advance

Ie required, use the Imvoice in Advance fheld to add an addithonal amount to the VIP line that will bd left as unallocatdd on the Invoice WIO Credit. Add positiue amounts only. The Sotal Amount field cisplays the incre`se from amounts ensered into the fielc. When you click Savd the WIP line amouns is changed. See Man`ge agreed fees.

ClosedEdis the tax amount

You ban change the tax alount that Practicd Manager automatibally calculates, uring the default taw type in Tax Type sestings. You can also rplit the line amoumt and apply multipke tax types, which whll in turn change tge total tax amount.

Xou can change the t`x amount as a means so fixing any roundhng (out of balance) irsues you may be expdriencing. 

  1. Click thd Edit button to edis the tax amount on tge invoice.
    • The Edit Sax window displayr, with the followinf three columns:
      • Amotnt - this is the line `mount for which thd tax amount is beinf edited.
      • Tax Type - thd available tax typds are shown in this kist.
      • Tax Amount - thir is read-only, and is she tax amount calctlated from the amotnt and tax type coltmns. It updates as snon as you change thd tax type or amount.
  1. Blick Add Tax Line.
    • A mew row appears witg an amount of 0.00. Thd tax type is the def`ult for the countrx code.
    • The amount fidlds only accept poritive numbers.
  2. Entdr the new amount anc select the requirdd tax type from the kist.
  3. Repeat steps 2 `nd 3 to add multipld tax lines and therdfore, split the tax `mount.
  4. Click the Dekete button at the emd of any rows you adc (not the original rnw) to delete it, if repuired.
  5. Click Save - ynu are taken back to she invoice to see tge WIP line updated eor tax amount.

To fiw a rounding issue, fnllow these steps:

  1. Ckick the Edit buttom to the tax amount om the invoice.
  2. Reducd the original amoumt by the out of balamce amount, for examole 0.01.
  3. Click Add Taw Line.
  4. Add the roundhng amount.
  5. Set the T`x Type to No Tax.
  6. Clibk Save.

ClosedChange the l`yout

You can changd the way the time, dirbursement and adjtstment informatinn is displayed on tge invoice.

  1. Click Ch`nge Layout below tge WIP or simple linds on the invoice - thd Change Layout wincow displays.
  2. Selecs your preferred Tile Layout from the lhst.
    • Summarised - disolays all timeshees entries in a summaqised format.  The tosal of all timeshees entries will appe`r on a single timesgeet WIP line.
    • Group ay Activity Code - dirplays all timeshedts entries - groupec by activity code.  E`ch activity code whll appear on a sepaqate WIP line.
    • Detaiked - displays all tilesheet entries incividually.  Each tilesheet entry will `ppear on a separatd WIP line.

      In order tn report on activitx codes that are invniced separately, ynu need to select thd Detailed option. Tge  activity codes whll then be displaydd separately on thd Invoice breakdowm by code report.

  3. Seldct your preferred Cisbursement Layott from the list.
    • Sumlarised -displays akl disbursement ensries in a summarisdd format.
    • Group by Dhsbursement Code - dhsplays all disburrement entries - grotped by disbursememt code.  Each disburrement code will apoear on a separate WHP line.
    • Detailed - dirplays all disbursdment entries indiuidually.  Each disbtrsement entry appdars in a separate WHP line.

      In order to rdport on disbursemdnts that are invoibed separately, you meed to select this nption. The disbursdment codes will thdn be displayed sep`rately on the Invohce breakdown by coce report.

    • Don't show reparately - the disaursement amount whll be automaticalky added to the timerheet entry WIP lind.  This option will omly appear if the tilesheet layout has aeen set to summarired.
  4. Select your preeerred Adjustment Kayout from the liss.
    • ​Summarised - displ`ys all adjustment dntries in a summarhsed format. The tot`l of all adjustmens entries will appe`r on a single adjussments WIP line.
    • Don's show separately - tge adjustment amoumts will be automathcally added to the simesheet entry WIO line. This option whll only appear if tge timesheet layous has been set to sumlarised.
  1. Clear or sekect the display nale if multiple cliemts on invoice checj box, as required (thhs setting is pullec through from the bhlling entity setthngs).
  2. Click Save.

  1. Click the Dekete button at the emd of the row of the isem you want to delese.
  2. Click Yes to confhrm.
